HOW WE WORK

Engineered in, not bolted on.

Every build follows the same four stages, so nothing ships until it has been tested against how your business actually operates rather than against a demo script.

01

Discover

We map how the business actually runs today. Where the calls come from and what happens when nobody picks up. Which documents get rewritten from scratch every week. What your team does that a system could carry, and, just as importantly, what it should not touch. You get a written picture of where the time is going before anyone talks about tools.

Deliverable · Systems audit and written findings
02

Engineer

We design the system around your workflows and your source material. What the agent knows, what it is allowed to say, where it escalates to a human, what the handoff looks like, and which systems it connects to. Scope, sequence, and success criteria get agreed in writing so there is no argument later about what "done" meant.

Deliverable · System design and scope of work
03

Build

We configure, connect, and test against real scenarios and real documents: the awkward caller, the ambiguous request, the question the system should refuse to answer. You review it before it ever meets a customer. We would rather find the failure in testing than have you find it in a review.

Deliverable · Working system, tested and reviewed by you
04

Operate

We launch, monitor, and refine. Transcripts get reviewed, gaps get closed, and the system gets updated as the business changes. Someone owns uptime, accuracy, and the next revision, so it does not quietly degrade into something your team works around.

Deliverable · Ongoing operation and scheduled review
WHERE IT STARTS

What a Systems Audit actually is.

It is a working session, not a sales call. The point is to leave you with a clearer picture of your own operation whether or not you hire us.

—

What we look at

Call volume and what happens to the calls you miss. Where leads enter and where they stall. Which documents get rebuilt from scratch. What your team repeats daily. What your current tools already do that nobody uses.

—

What you get

A written summary of where time and leads are leaking, a recommendation on what to build first and what to leave alone, and an honest answer about whether this is worth doing at your size.

—

What it costs

The audit is free and there is no obligation attached to it. If we do not think a system would pay for itself for you yet, we will say so.

—

What we need from you

An hour, a candid description of how the work really flows, and access to nothing at all at this stage. Documents and system access only come later, and only with your approval.

STRAIGHT ANSWERS

The questions we get asked first.

How long does it take to go live?

A focused voice or chat deployment is typically a few weeks from scope to launch. Websites and multi-system builds run longer. We would rather give you a real date at the end of the design stage than a fast one before we understand the work.

Will it sound like a robot reading a script?

It should sound like a competent person who knows your business and does not waste the caller's time. It is also told to say it is an AI assistant, because pretending otherwise is both wrong and, in some states, illegal.

What happens when it does not know the answer?

It takes a message and escalates. Systems that guess in order to seem helpful are the ones that cost you a customer. We tune for "I'll get someone who can answer that" over confident nonsense.

Do you need access to all of our systems?

No. Access is granted one system at a time, only to what a given capability actually requires, and it is yours to revoke. See our AI and data practices for how client material is handled.

Is our business data used to train AI models?

No. We do not provide client material to model providers for training, and we configure the services we use to exclude it. This is covered in writing in the client agreement.

Are we too small for this?

Possibly, and we will tell you if we think so. The rough test is whether missed calls, slow follow-up, or repetitive paperwork are costing you more than the system would. For a lot of single-location operators the answer is yes; for some it is not yet.
